Information we hold
- Your name, phone number, email and anything you write to us in a form, email or WhatsApp message
- Addresses and details of homes you let, own or want to rent
- Proof of identity, references and immigration status checks for landlords, tenants and guests
- Bank details needed to pay rent out or collect it
- Basic server logs, such as IP address and pages requested
Why we use it
To reply to you, to run lettings, management and short-stay bookings, and to meet duties the law places on us, including anti-money-laundering checks, licensing and Right to Rent. Our legal bases are the contract with you, legal obligation and our legitimate interest in running the business. Marketing emails are only sent with your consent.
Who sees it
Only those who need it for the job: referencing firms, tenancy deposit schemes, councils for licence applications, tradespeople visiting a property, utility suppliers, and the companies that host our systems and keep our accounts. Personal data is never sold.
How long we keep it
Website enquiries that do not lead anywhere are deleted after a year. Records of tenancies and landlords are held for seven years after we stop acting, because tax and housing law require it.
Your rights
Ask us for a copy of your data, to correct it, to delete it, or to stop using it, and withdraw consent at any time. Use the details on our contact page and we will answer within a month. If you are not happy with our reply, the Information Commissioner’s Office (ico.org.uk) handles complaints.
